It is therefore imperative organisations implement email management systems that will automatically archive key email and equally importantly, enable these to be retrieved within the required period of time. Growing inboxes must be managed through the implementation of Information Lifecycle Management systems. This will ensure email is stored on medium most appropriate to its value and age.
Archiving email is not enough. The vast majority of organisations store email on tapes, from which it cannot be retrieved in a reasonable amount of time.
Therefore, despite having retained the email required as evidence, organisations have to pay fines for failing to produce it, as they simply cannot find the email within the archive.
